The following is an overview of the positions and responsibilities of the Walnut Creek Education Foundation Board of Directors
Mission: The Walnut Creek Education Foundation raises funds through a broad-based community effort to support quality academic and enrichment programs and student support services for all students attending schools in the Walnut Creek School District and at Las Lomas High School of the Acalanes Union High School District.
*Major responsibilities:
- Support the Foundation with a commitment of time, money, and/or other resources in the Foundation’s efforts to achieve its goals of educational excellence and community outreach and awareness.
- Fundraising and outreach
- Organizational leadership and advisement
- Organization of the board of directors, officers, and committees
- Formulation and oversight of policies and procedures
- Financial management, including adoption and oversight of the annual budget
- Oversight of program planning and evaluation
- Personnel evaluation and staff development
- Create and update the WCEF strategic plan.
- Review of organizational and programmatic reports
- Promotion of the organization
*Members of the board share these responsibilities while acting in the interest of WCEF. Each member is expected to make recommendations based on his or her experience and vantage point in the community.

President:
- In collaboration with Executive Committee establish agenda and preside over monthly Board meetings
- In Coordination with Executive Director attend to the day to day operations of the Foundation
- Sign all checks and warrants for Foundation
- In collaboration with Executive Director determine who will attend Districts Coordinating Council, LL Site meetings, & Communication Team meeting
- Maintain a relationship with the School Districts and collaborate regarding budget needs and Letters of Understanding
- Foster a collaborative relationship with school site PTA/PTO and Principals
V.P. Administration
- Attend Monthly Board meetings
- Preside over meeting in absence of President
- Serve as Parliamentarian at meetings
- Create and maintain job descriptions of foundation
- Maintain Foundation Documents on Google Docs
- Ensure Board Members and volunteers have signed data confidentially agreement
- Assist in orientation of Board members
- Chair Nominations committee
- Chair By- laws committee (biannual)
- Chair Personnel Committee
- In collaboration with President determine who will attend Districts Coordinating Council, LL Site meetings, & Communication Team meeting
- Assist in development of annual report
- Assist in planning and execution of Strategic Planning
- Assist with other daily activities of President as needed
Treasurer
- Keep financial records
- Write Checks and makes deposits
- Attend Monthly Board meetings
- Prepare and deliver monthly financial reports
- Ensure that all committees stay within their budget
- Take the lead in the development of the annual budget
- Prepare budget updates to determine if Foundation can reach fundraising goal
- Provide records to Auditor - for the semi annual audits
V.P. Events/Fundraising
- Work in collaboration with Chairs of Community, Business and Parent Campaigns to insure fundraising plans and goals are on target to meet budget
- Attend Monthly Board meetings
- Attend Communication meetings and work with the group to insure proper marketing of fundraising activities.
- Work with Treasurer to insure that every activity follows the Foundation’s cash handling policy.
- Review potential fundraising opportunities for viability.
- Implement approved Fundraising event or activity
- In collaboration with Chair of volunteer recruitment, identify a Chair and or volunteers for each fundraiser
- Assist in development of an action plan for each fundraiser
- Assist in implementation of plan as needed
- Assist in development of a task analysis and related job descriptions for fundraisers that have the potential to be repeated/ongoing.
- Work with chairs to insure for acknowledgement of fundraising partners and volunteers
- At the completion of an event or fundraiser complete an evaluation
- Support Michael De Sa Scholarship
- Serve as a member of the Budget and Finance Committee
Secretary
- Attends and take accurate minutes at monthly board meeting
- Maintains records of attendance at meeting
- Distributes to President and Executive Director for review
- Brings copies to meeting for Board Review
- Corrects minutes as recommended by Board
- Retains records of minutes for each year.
- Assists in revision of bylaws as needed
- Assists in donor acknowledgments as needed.
Marketing/Communication Chair(s)
- Develop and manage project plans for the successful implementation of the marketing and communication aspect of each campaign and event throughout the year
- Lead the Communication Team
- Develop agenda for regularly scheduled Communication Team Meetings (right now it is bimonthly)
- Assign tasks as required for various campaigns and events
- Follow up on assigned tasks
- Develop or assist with development of content for various campaigns and events
- Coordinate the development and distribution of collateral materials with our Marketing and Communication Firm
- Work in Conjunction with the President, Executive Director and Site Coordinators to ensure the WCEF messaging is consistent among our constituents
- Attend Monthly Executive Committee Meetings and Report on Communication Activities
Vice President of Business/Community Development
- Assist Executive Director in implementation of Business Community Outreach and Fundraising Plan
- Assist Executive Director with First Friday Business Program
- Provide monthly report to Board
- Develop and implement outreach plan to Rossmoor
- Develop and implement plan to outreach to Alumnae
- Assist in development/implementation of legacy giving plan
- Participate in other appropriate community outreach activities
Volunteer Recruitment Chair (appointed)
- Provide ongoing recruitment of volunteers for outreach and fundraising activities including activities for first time volunteers
- Serve on Nominating Committee
- Assist in Board and Volunteer Orientation
- Provide Volunteer recognition and acknowledgment
- Assist in development and refinement of job descriptions
Vice President Parent Fundraising
- Coordinate the efforts and support Site Volunteers in their outreach and fundraising efforts for out reach and fundraising events Tri/S Welcome Back Days, Back to School Night, Donation Days, Open House/Spring Campaign and non donor campaign (optional)
- Speak at School Events as needed
- Attend Communication Team meetings as appropriate
- Attend Monthly Board Meetings
Site Reps
- Recruit a team of volunteers to assist at the site level with the following out reach and fundraising events; Tri/S Welcome Back Days, Back to School Night, Donation Days, Open House/Spring Campaign and non donor campaign (optional)
- Establish a WCEF Communication Bulletin Board
- Attend Monthly Board Meetings
- Attend PTA/PTO meetings to provide updates on WCEF activities
- Communicate and Collaborate with Vice President Parent Fundraising regarding efforts
